Receiving that doesn’t guess.

  • The real serial, or nothingIf a product needs the manufacturer’s serial, BX1X won’t accept stock without it. It never makes one up.
  • Your own serials when you need themGenerate numbered internal serials and barcodes for products that don’t come with one.
  • No duplicatesThe same serial can’t be captured twice anywhere in your business.
  • Scan with a phoneStart a scanning session on the computer, scan items with a phone, then commit them in one go.
  • Between locationsMove an exact item to another warehouse or store, with the move recorded. See stock and warehouses.

Warranties and returns, by serial.

The serial on the invoice is the serial on the warranty, and it’s the one that comes back in a return.

  2. ApprovedYou decide what happens next.
  3. ReceivedThe item is back in your hands.

Warranty rulesSet how many months cover lasts, whether it starts on the purchase or the delivery date, and what you offer: repair, replacement, refund or credit. Link a policy to a product or to one variant.
Cover that starts itselfWhen a delivery is marked as delivered, BX1X creates the warranty for each item whose product has a policy. You can also add one by hand, for goodwill or older sales.
Terms that don’t moveA warranty keeps the terms it started with. Changing the policy later doesn’t change warranties already running.
Claims checked for youA return shows whether the warranty is active, expired or void, and only offers the resolutions the policy allows.
Fair swapsReplace a faulty unit and the new serial keeps the original warranty end date. Both serials stay linked, with their history.
Customers can check themselvesThey look up a return by order number or serial number online.

Every kind of return, one process.

A plain return, a warranty claim or a repair all follow the same steps, so nothing is lost between the counter and the workshop.

ReturnThe customer brings an item back. Inspect it, then restock it or refund it.
Warranty claimThe item is covered. Repair, replace, refund or credit, within what the policy allows.
RepairThe item needs fixing. Follow it from the day it arrives until it goes back to the customer.
Inspection on recordRecord the condition it came back in (new, opened or damaged) and whether it passed or failed.
The money follows the decisionChoose a refund or a credit and BX1X creates the credit note. A credit stays on the customer’s account for next time. See billing and credit notes.
Back to the supplierSend a faulty unit back to your supplier and track it from sent to repaired or replaced and closed, linked to the customer’s return.
Returns from your own websiteAdd a returns form to your website. Customers don’t need to log in, and they get a reference number to follow up with.

Questions owners ask

Can I see where a specific serial number is and who has it?

Yes. Look up the serial and BX1X shows its status, where it is now, the invoice it went out on and its full history, from receiving to today.

How do warranties work in BX1X?

You set up warranty policies with a length in months, a start on the purchase or delivery date, and the resolutions you offer. When the item is delivered, the warranty is created on its serial number with the terms of that day.

Does a replacement unit get a new warranty?

No. When you swap a faulty unit under warranty, the new serial keeps the original warranty end date, and both serials stay linked with their history.

How are returns handled?

Every return, warranty claim or repair is tracked from request through to resolution. A refund or credit creates the credit note for you, and faulty units can be sent back to the supplier and tracked.

Can customers start a return themselves?

Yes. Customers can request a return online, and they can look up its status by order number or serial number.

Does BX1X track batch numbers or expiry dates?

No. BX1X tracks individual serial numbers, not lots, batches or expiry dates.
